Create an Invoice

Invoices let you bill customers for products and services, track what is owed, and connect billing to payments and reporting in Better Sales Pro.

Before you begin

Make sure you have:

  • A customer (contact) or staff member to bill, depending on invoice type
  • Line items (products/services) or amounts to charge
  • At least one payment mode configured if clients will pay online or you need to record payments later
  • The correct company and currency if you operate multiple entities

Choose invoice type

When creating an invoice, select the type at the top of the form:

  • Client — bill a customer or contact (most common for sales)
  • Staff — bill an internal staff member (payables or internal charges)

Create a new invoice

  1. Log in to Better Sales Pro.
  2. Open Sales → Invoices.
  3. Click New Invoice.
  4. Select the invoice type (Client or Staff).
  5. Choose the customer or staff member.
  6. Optionally link a project and company.
  7. Enter the invoice number, category, invoice date, and due date.
  8. Add line items: description, quantity, rate, and tax where applicable.
  9. Review totals, discounts, and adjustments.
  10. Under Allowed payment modes, check the methods clients may use to pay.
  11. Add client note (shown to the customer) or admin note (internal) if needed.
  12. Click Save.

Billing and shipping details

Click Edit billing & shipping to set or override the bill-to and ship-to address on the invoice PDF. This is useful when the invoice address differs from the contact record.

Advanced options

  • Mark as expense — counts the invoice total as an expense on reports (use when appropriate for your accounting workflow).
  • Do not count — excludes the invoice from certain income calculations.
  • Not visible to client — hides the invoice from the client portal until you are ready.
Tip

Save as a draft first if you need internal review. You can send the invoice to the client once amounts and line items are confirmed.

What happens next?

  • Send the invoice to your client by email
  • Record a payment when you receive funds
  • Download or print the invoice PDF
  • Track status on the invoice list and in reports
