Understand Invoice Statuses

Invoice status tells you where each bill stands in your collections workflow — from draft to paid or cancelled.

Status definitions

  • Draft — created but not finalized or sent. Safe to edit freely.
  • Unpaid — issued to the client with a balance due and not yet fully paid.
  • Partially Paid — at least one payment recorded, but a balance remains.
  • Paid — the full invoice amount has been received.
  • Overdue — unpaid past the due date.
  • Cancelled — voided and no longer collectible.

What changes status?

  • Saving and sending an invoice typically moves it from Draft to Unpaid.
  • Recording a payment updates status to Partially Paid or Paid based on the remaining balance.
  • When the due date passes with an open balance, the invoice may show as Overdue.
  • Manually cancelling an invoice sets Cancelled.

Filter invoices by status

On Sales → Invoices, use status filters or quick views to focus on unpaid, overdue, or paid invoices. This helps your team prioritize follow-up.

Overdue reminders

If your account has automatic invoice reminders enabled, Better Sales Pro can email clients when invoices become overdue. Reminder timing is configured in invoice settings. Reminders do not change status by themselves — they prompt payment on invoices already marked overdue.

Important

Keep invoice dates and due dates accurate. Status and aging reports depend on these fields.

Best practices

  • Send invoices promptly after work is completed or per contract terms.
  • Record payments as soon as they are received so status stays current.
  • Review overdue invoices weekly and follow up with clients.
